How to set up Quick Invoice and Credit Notes

Do you have too many customer invoices to handle while you are pressed for time? Create quick sales invoices for multiple customers at a go. Split them, assign account codes for each invoice using any device with Surf Accounts online quick sales invoice.

Select ‘Invoices and Credit notes’ under ‘Sales’ and select the ‘Quick Invoice’ option under the tab Quick.

Now to set up a quick sales invoice all you need to enter is the

  • Date
  • Reference Number (for identification)
  • Invoice number (which is again auto assigned)
  • Customer name (which you can automatically search and select)
  • Net value
  • GST
  • Code (Select an account code)
  • Continue to click each row to enter invoice details for each customer. Click the option ‘Add’ to add more rows.

‘Save’ the invoices once done. Quick invoices are indicated by an Asterix sign.

The Quick Invoice feature allows you to split an invoice. However, while splitting an invoice make sure the split invoices add up to match the value of the original invoice.

On the Quick Sales Invoice page click the invoice you need to split and hit the ‘Split’ button for the Split window to open.

Let us assume you want to split an invoice into multiple parts and modify the GST and the Account Codes for each split part. Enter the values and GST under Net and GST on each row, and likewise select Account Codes for each. The notes will reflect the Sales Type according to the Account Codes you have entered.

Click ‘Save’ to have an invoice denoted as ‘Split’ on the Quick Sales Invoice window.

Like online quick invoices, quick credit notes can also be created. Select the option ‘Quick Credit Note’ on the ‘Sales Invoices’ page.

Just like a quick invoice enter the following details on a quick sales credit note.

  • Date
  • Reference Number
  • Credit note number (which can be autogenerated just like the Invoice number)
  • Customer (New or existing)
  • Net amount
  • GST
  • Account Code
  • Note (which reflects by default the account code you select. You can, however, change it)
  • Splitting a credit note (in case it is not fully analysable to one account code or GST) follows the same trajectory as splitting a quick invoice. The split total should match the total value of the credit note.

You can allocate a credit note against an invoice to reduce the total value of the invoice. Click the ‘Allocation’ icon on the ‘Quick Sales Credit Note’ page.

  • On the allocation window a summary of all the unpaid invoices of the customer against whom you have created a credit note will appear.
  • Under the ‘Tick’, mark the invoice that this credit note applies to.
  • On clicking the ‘Auto’ option the full credit would be allocated to the invoice you have marked.
  • However, if you want to enter the credit note manually, click the row, and enter the credit note amount under the ‘Pay’ column.
  • To make edits or start over again click the ‘Reverse’ option.
